Position: Project Contract Administration Coordinator
Location: Milan, Italy

We are looking for an experienced Contract Administrator to support a major offshore oil and gas project. The role is based in Milan, and candidates must have the right to work in Italy.

Key Responsibilities

Contract Administration

  • Manage and monitor project contracts during execution.
  • Ensure contractors meet contract requirements, deadlines, and deliverables.
  • Maintain contract records and documentation.
  • Review contract notices, changes, and variation requests.

Change Management

  • Assess the impact of contract changes on cost and schedule.
  • Prepare and process change orders.
  • Track all approved changes and maintain records.

Claims and Disputes

  • Identify and help prevent potential claims.
  • Support the resolution of contractual disputes.
  • Maintain claims documentation and records.

Contract Communication

  • Prepare and review formal contract letters and notices.
  • Ensure timely responses to contractor communications.
  • Support the project team on contractual matters.

Reporting

  • Prepare regular reports on contract status, changes, risks, and key issues.
  • Contribute to monthly project progress reports.
  • Monitor contract performance indicators.

Coordination and Compliance

  • Work with procurement, planning, cost control, and legal teams.
  • Ensure compliance with project procedures and requirements.
  • Provide contract guidance to project stakeholders.
  • Support audits and maintain proper document archiving.

Requirements

  • Bachelor’s degree in Law, Engineering, Business Administration, Quantity Surveying, or a related field.
  • 7-12 years of contract administration experience in the oil and gas industry.
  • Experience working on large EPC or EPCIC projects.
  • Good knowledge of FIDIC and other major contract frameworks.
  • Understanding of project controls, including cost, planning, and risk management.
  • Proficiency in Microsoft Office and contract management systems.
  • Strong communication, negotiation, and report-writing skills.
  • At least 5 years of offshore experience, including 3-5 recent years on offshore projects.
  • Excellent spoken and written English.
