Office Manager / Senior Administrator

We are working with an innovative and fast-growing organisation seeking a highly organised and proactive Office Manager / Senior Administrator to play a pivotal role in supporting day-to-day business operations.
This is a dynamic position at the heart of the organisation, ensuring administrative processes run smoothly and efficiently across multiple functions. You will collaborate closely with senior stakeholders and international colleagues, helping to maintain structure, consistency, and operational excellence.
The Role
You will take ownership of a broad range of administrative and operational responsibilities, including:
- Coordinating meetings, schedules, travel, and visitor arrangements
- Managing inbound queries, ensuring timely responses and effective triaging
- Preparing meeting minutes, tracking actions, and supporting follow-ups
- Maintaining document control systems, including contracts, policies, and records
- Overseeing office coordination, including suppliers, facilities, and general readiness
- Supporting onboarding and offboarding processes, including IT and equipment coordination
- Assisting with procurement administration, including quotes, purchase orders, and tracking
- Managing administrative trackers, databases, and reporting
- Supporting insurance, facilities, and lease administration
- Providing general administrative support and contributing to ad hoc projects
About You
You are a highly organised, detail-oriented professional who thrives in a fast-paced environment and enjoys taking ownership.
Key requirements:
- Minimum 3+ years’ experience in an administrative, office management, or similar role
- Strong organisational skills with the ability to manage multiple priorities effectively
- Excellent communication skills, both written and verbal
- Advanced proficiency in Google Workspace (Docs, Sheets, Slides, Calendar)
- High attention to detail with strong document control and record-keeping practices
- Proven ability to handle confidential information with discretion
- Proactive, reliable, and comfortable working independently
- Basic understanding of finance processes (e.g. purchase orders, invoices, P&L concepts) is advantageous
